Executive Assistant

For this particular role, our client is seeking an Executive Assistant to support managing the CEO’s calendar, organizing an extensive travel schedule, setting up meetings, coordinating different projects, and other support tasks as needed. This role would suit someone who is diligent, organized, able to prioritize, is discrete, proactive and enjoys partnering with others and is able to adapt within a busy environment. This is an in-office position based in Miami.

Responsibilities:
- Upholds themselves in the highest manner possible, being an exemplary employee and acts on behalf of the CEO in her absence
- Demonstrate a solid understanding of changing priorities and proactively manage calendars, often with the complexity of multiple time zones
- Coordinate large meetings on behalf of CEO, and aids with the preparation of meeting materials and tracking of follow-up items
- Manage tasks proactively and efficiently to ensure seamless coverage
- Assist with technology issues as efficiently as possible and help escalate to IT support teams when appropriate
- Organize client-facing and internal social/networking events, both offsite and onsite
- Serve as an ambassador within the office, assisting as needed
- Build relationships and partner with others across the firm to maintain a smooth process across all facets of the CEO’s life
- Coordinate domestic and international travel arrangements and submit expenses in a timely manner, via Expensify
- Assistance with certain business management, talent and reporting related activities
- Maintain relationships with vendors, manage issues, review contracts, track renewals, etc.
- Willingness to help with ad-hoc projects as bandwidth allows, including but not limited to, event planning
Requirements:
- Experience as an administrative or executive assistant
- High level of poise and professionalism as role requires interface with senior executives, institutions, and important personal contacts
- Excellent written and verbal communication skills
- Strong attention to detail
- Proficiency with office productivity tools (excel, word, PowerPoint, Visio) and an aptitude for learning new best practices
- Ability to maintain confidentiality of information related to the company and its employees
- Experience with Monday.com, Zoom an bill.com preferred, but not required
- Ability to be onsite in for 5 days per week
